Coverings 2025 Show Policies

To ensure a smooth and enjoyable experience for all attendees, please take a moment to review the following registration and show policies.

These guidelines cover essential details such as cancellations, age restrictions, liability, and data usage. By attending the event, you agree to comply with these policies, which are designed to make the event safe and successful for everyone. If you have any questions or need further clarification, please don’t hesitate to contact Coverings Show Management.

These registration policies (the “Registration Policies”) are applicable to the Coverings 2025 event (the “Event”), which is sponsored by International Tile Exposition, LLC (“Coverings”). By registering for the Event, and/or attending the Event, you agree to comply with the Registration Policies, and you represent to Coverings that you have the legal capacity to form a binding contract.

Cancellations for paid registrations are refundable (less a $10.00 processing fee) only if Coverings receives written notice of cancellation on or before April 8, 2025. No refunds will be issued for cancellations made after April 8, 2025. If you do not cancel by April 8, 2025, you are still responsible for payment. There will be no refund for any donations made to a Coverings Cares charity. Please contact us regarding all cancellation requests.

If you are unable to attend the Event, you may send a substitute. Substitutions must be submitted by the original registrant and can be made any time prior to April 29, 2025. However, printed badges are non-transferable once collected at the Event. You are responsible for ensuring that any substitute sent by you complies with, and agrees to be subject to, the Registration Policies. Please contact us regarding substitution requests.

Your attendance at the Event is completely voluntary. Your attendance at the Event is at your own risk, and you voluntarily assume all risks and hazards related to such attendance, including without limitation, personal injury, illness, or loss of property. You hereby release Coverings and its officers, employees, members, agents, contractors and vendors from any liability related to your attendance at the Event.

 

In no event will Coverings be liable to you or your substitute for any indirect, consequential, special, incidental or punitive damages. The maximum liability of Coverings to you or your substitute in connection with the Event shall be a refund of registration payments received from you

Coverings reserves the right without liability to refuse admission to, or to eject/block from, the Event (whether physical or virtual) any person in their absolute discretion, including (without limitation) any person who fails to comply with the Registration Policies or policies of the venue where the Event is held, or who, in the opinion of Coverings, represents a security risk, nuisance or annoyance to the running of the Event. You agree to comply with all reasonable instructions issued by Coverings, the venue owners, security personnel and/or management at the Event.

“Cash and Carry” sales are NOT permitted on the Event show floor. This policy will be strictly enforced.

No one under the age of 18 is permitted in the Event exhibit hall during move-in and move-out. During Event show days and only during Event show hours, no one under the age of 16 will be allowed into the Event’s exhibit halls unless accompanied by an adult. The accompanying adult assumes all responsibility for the person under 16 and must sign a waiver at registration.

Due to the sensitive nature of new products and unique booth displays at the Event, photography and/or video recording of any booths by any attendee/exhibitor personnel is prohibited.

Please note: By attending the Event, you may be the subject of still photography or videography which is used by Coverings, its public relations agency, or contracted agents for purposes of promoting the Event and future shows. By attending, you agree to grant Coverings, its agents, and exhibitors the right to use your likeness in any photographic or video coverage of the event including sponsors post-show.

Suitcasing is the act of soliciting business in the Event show aisles or other public spaces by a non-exhibitor, and includes soliciting business by an exhibitor in another exhibitor’s booth or a hotel lobby. This practice is strictly prohibited, and anyone observed engaging in suitcasing should be reported to Coverings Show Management and may be asked to leave the Event immediately. This policy is intended to promote the integrity of the Event and maintain a good relationship among all participants at the Event.

The Event’s digital platform may include a robust networking and product matching function, which allows registered participants to find and connect with each other as well as receive recommendations on exhibitors to visit based on product category selects. Basic information that you share during the Event registration process will be used to create your profile on this third-party platform.

You will have the ability to edit your profile contact settings including your email once you have joined the online platform. As a condition for you engaging with exhibitors or sponsor content on the digital platform, you will need to consent to exhibiting and sponsoring companies having access to the personal data that is public in your personal profile.

By accepting the Registration Policies, you consent to the terms of use set forth below. After providing such consent you may be contacted, through the digital platform, by other registrants including attendees looking to connect with you.

You agree to receive email communications, alerts and updates from Coverings concerning the Event.

The personal data referred to in the registration system are processed for purposes relating to the performance of the Event. By providing consent, your data may be used to keep you updated by the Event.

Your personal data may be processed in a printed and/or electronic form using automated communication systems and will be used in connection with providing services related to the Event and in a manner consistent with its privacy policy, available at www.coverings.com/privacy-policy.

Coverings reserves the right to take any lawful action it deems appropriate in its sole discretion with respect to violations of the Registration Policies. Coverings expressly reserves all rights and remedies available by law or in equity.

Coverings reserves the right to amend the Registration Policies from time to time in its sole discretion. The most recent updated Registration Policies are posted at www.coverings.com/show-policies. Your decision to attend the Event shall confirm your agreement to be bound to the Registration Policies in effect at the time of the Event. 

Coverings is not responsible or liable for any non-performance or delayed performance resulting from any matter or circumstance beyond its reasonable control, including, without limitation, war, public emergency, pandemic, public health threat, calamity, strike, labor disturbances, fire, interruption of transportation or utility services, earthquake, weather event, explosion, volcanic eruption, unavailability of venue, or any other disturbances or restrictions that would frustrate or prevent the Event from occurring. Coverings is under no obligation to make any refund or pay any other amounts to you in such situation. 

Any dispute, claim, or controversy arising out of your attendance of the Event or the Registration Policies shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia without giving effect to any choice or conflict of law provision or rule.

Jurisdiction and venue for any court proceedings arising out of your attendance of the Event or the Registration Policies shall be vested and laid exclusively in the state or federal courts sitting in Arlington, Virginia. You waive all objections to the exercise of jurisdiction over you by such courts and to venue in such courts.

Any failure by Coverings to enforce or assert any right under the Terms shall not constitute a waiver or its rights to enforce or assert rights under that provision or any other provision of the Registration Policies.

If any provision of the Registration Policies is held invalid or unenforceable by a court or other tribunal of competent jurisdiction, such provision shall be eliminated or limited to the minimum extent such that the remaining provisions of the Registration Policies will continue in full force and effect.

Coverings Code of Conduct

Courtesy, Care, Community, Collaboration

Coverings is committed to providing a safe and welcoming environment for all event participants and staff. This Code of Conduct provides general guidelines and standards of conduct but cannot cover all possible situations. Everyone is expected to be treated with respect and abide by the 4 C’s of Coverings – Courtesy, Care, Community, and Collaboration.

  • Courtesy: Treat everyone with respect, politeness, and professionalism.
  • Care: Be mindful of your words and actions.
  • Community: Foster an inclusive atmosphere that values diversity and welcomes individuals from all walks of life, regardless of gender, race, ethnicity, age, sexual orientation, disability, religion, or other characteristics.
  • Collaboration: Follow all rules and policy regulations and immediately report any concerns to organizers.
  • Harassment, whether verbal, written, or physical. This includes offensive comments, slurs, threats, intimidation, or unwanted advances.
  • Discrimination based on gender, race, ethnicity, age, sexual orientation, disability, religion, political affiliation or any other protected characteristic.
  • Inappropriate disruption of sessions, discussions, or other events.
  • Sharing your event registration information, including your badge, with another person(s).
  • Unauthorized promotion or solicitation of products or services is prohibited.
  • Any other illegal activity not already covered above.
  • Comply immediately when requested to stop unacceptable behavior.
  • Security may take action deemed necessary and appropriate, including, but not limited to, immediate removal from the event without warning or refund.
  • Report unacceptable behavior to Coverings staff or security and they will take all necessary actions to ensure the continued safety of meeting participants, avoid further disruptions, and prevent further harm.
  • Coverings reserves the right to prohibit attendance at any future event.

In no event will Coverings be liable to you or your substitute for any indirect, consequential, special, incidental or punitive damages. The maximum liability of Coverings to you or your substitute in connection with the Event shall be a refund of registration payments received from you

Should it become necessary, Coverings has the sole authority to levy actions imposed herein for violating the Code of Conduct. The event participant agrees not to appeal any decision to any court of law or other party.

Accepting this Code of Conduct constitutes the individual’s formal agreement to abide by this Code of Conduct, to accept as final any determination reached by Coverings, and to waive any right to bring legal action for claims or damages against management or owner of Coverings or any person related to Coverings in his, her or their capacity as an officer, staff person, editor, manager, counsel, volunteer, member of a Committee, or in another recognized role, in the enforcement of this Code of Conduct. This Code of Conduct may be modified at any time and for any reason.
